UniRios accelerates privacy project with technological and collaborative strategies.

The history of the Rio São Francisco University Center – UniRios, began in 1964, when Professor Gilberto Gomes de Oliveira, a pioneer in education, created the Colégio Sete de Setembro, establishing a new standard in the provision of educational services in Paulo Afonso (BA) and the surrounding region.

Obtaining the status of University Center granted the institution greater independence in creating courses, following approval by the Ministry of Education on October 21st, through Ordinance No. 1.789/MEC published in the Official Gazette of the Union.

The institution gained a new identity, adopting the São Francisco River as a symbol that so well characterizes the region, further enriching the educational legacy of the pioneering initiatives of Professor Gilberto Gomes de Oliveira.

During the initial phase of implementing the Privacy Tools software, the team in charge of the project at Unirios recognized the importance of actively engaging the institution's leaders in this process of adapting to the LGPD (Brazilian General Data Protection Law).

Based on this understanding, the necessary steps for implementing the tool were defined. This planning took into account both the specific demands of Unirios and the available resources, as well as the deadlines to be met.

This approach ensured that all project participants were fully aware of their responsibilities and committed to achieving the desired results.

In this context, close collaboration with leaders not only ensures legal compliance but also reinforces a culture of respect for privacy at all levels of Unirios, consolidating a solid foundation for the journey towards compliance with the LGPD (Brazilian General Data Protection Law).

According to Marcos de Souza Dantas, Financial Services Supervisor at Unirios, the participation of Unirios' leadership in the implementation process of the Privacy Tools was essential. "The actions were aimed at involving both leaders and employees from each area, with the goal of mapping the specific data flow of each sector and then integrating it into the overall flow of our institution," adds Marcos.

With the involvement of all Unirios team members in the process of adapting to LGPD compliance, the “LGPD Minute” was created, a series of short videos recorded by the Data Protection Officer, which were made available on the institution's internal communication channel. “These videos allowed employees to watch and ask questions at any time. In addition, we included the LGPD theme in all our new hires, regardless of the position held,” explains the Financial Supervisor.

Facing the challenges of data flow management

In today's landscape, efficient data flow management has become a fundamental element for the success of organizations in various sectors. Unirios, one of Privacy Tools' clients, was no exception to this challenging context. Facing an increasing flow of information from its internal processes, partnerships, and interactions with students, the institution encountered significant challenges regarding the control of this data flow.

From the beginning of the implementation process of the Privacy Tools, it became evident that Unirios was dealing with the complexity of managing large amounts of information, and the manual tracking of data proved to be an arduous and error-prone task.

According to Marcos, "the large volume of processes and information flows made it difficult to establish effective control, which, in turn, hindered the tracking of personal and sensitive data, and the lack of adequate control made it difficult to identify critical points and take corrective measures quickly and efficiently."

Establishing governance

Marcos de Souza explains that transforming a company's culture is not an easy task and involves a series of challenges, requiring the continuous commitment of everyone involved. Therefore, the process will not be finalized, as governance does not end with implementation; it continues to be an important part of this constantly evolving process. "We are committed to monitoring weekly and always seek to listen to the leaders and key governance stakeholders," he adds.

While the implementation can be considered successful, it is crucial to recognize that establishing a new culture doesn't happen overnight and requires the involvement of all areas of the company.

Before the LGPD (Brazilian General Data Protection Law) came into effect and the Privacy Tools were implemented, Unirios faced considerable challenges regarding data flow control. The large volume of processes and workflows made it difficult to establish effective control, complicating the tracking of personal and sensitive data.

According to Marcos, the implementation of Privacy Tools made it possible to obtain records of operations being processed and information about sensitive data operators. Furthermore, it enabled the monitoring of the flow of customer data registration from the beginning of their process within the organization, as well as the data used from employees.

Marcos adds: “The Data Mapping module centralized the management of process flows and natural and sensitive data, organizing the management of employee access permissions to existing data within the organization. Furthermore, the implementation of the tool also brought additional benefits, such as managing the organization's website cookies, enabling better traceability and site management. Through cookies, it is possible to identify the most and least popular pages for users, ensuring data collection with the user's permission in an anonymous way, preserving their privacy and identification.”

In this way, the Privacy Tools management tool provided UniRios with the systematization of process and data flow, as well as the centralization of actions inherent to the LGPD (Brazilian General Data Protection Law).
